Homeowners Meeting Minutes 20 Aug 19

Other Attendees: Matt and Aubrey Blosser, Carl Schuler and CJ Long, Marlowe Fenne, William and Michelle Verner, Susan Price, Ziad Ashour, Jeffery Ballmann, Tim DiMarco, Bettina Chaiken

Agenda: Because the most recent board members have resigned or are in the process of resigning, we need to elect interim board members to unblock progress and planning until an official new board can be elected.


Notes:

- initially the group concluded Michelle was appointed "communications officer," which may be interpreted as secretary, at the last homeowners meeting

- others interested in interim board: William, Marlowe, Larry, David Aiken, CJ

- voted to start with an interim board of Larry, Marlowe, and William, who can sync with David to determine if 3 or 4 board members makes most sense

- interim board shall serve 8/20/19 until the end of this calendar year (through 12/31/19)

- official annual meeting with election of members to serve terms according to bylaws (1-, 2-, and 3-year terms with rotation) shall happen in November to give time for official FY20 budget to be set by 12/15

- Interim board will finalize details of the annual meeting (tentatively 11/15/19 at the library), and Michelle will communicate this meeting to the neighborhood with at least 30 days notice

- Tim (remaining most recent board member) has agreed to help with warm handoff to interim board

- street reps were selected to help with projects and social events, and recommendation was for these reps to ensure communication with each other and/or include Michelle to coordinate: Aubrey for 188th Pl, Tim for 190th Ct

- welcoming committee will include Cindy Kelly

- maintenance committee will include Ziad

- group acknowledged concern of not giving more notice to all homeowners about this meeting and not providing more methods of communication with equivalent details; viz. Susan (former board member) requested that flyers have the purpose and date for the meeting and emails should have been sent; in this case, at time of printing we were not certain of meeting details due to the exceptional nature of this meeting, and email directory is not up-to-date, but agree there is room for improvement; CJ will send latest directory to Michelle, and Michelle will work with Tim to get updates

- CJ (former board member) raised several valid points about referencing the bylaws for understanding minimum notice for meetings, number of voting board members, length of terms, and group agreed to read bylaws in more detail

- Antenna addendum should be added to the website

- When homeowners list a house for sale in MLS, the welcoming committee will work with Michelle to capture this in notes
